Virtual Counselling Policies

A counselling hour consists of 50 minutes of virtual time between clients and counsellors, and 10 minutes is allotted to payment processing, paperwork and case management. This is in keeping with standard professional practice in the field.

Fee Policy: The full fee for each appointment is due and payable at the time of service.
We make payment as easy as possible and accept e-transfers to care@welovetocare.ca or payment via our booking app, Jane App.

Billing Policy: Our policy is to bill for our time when working on client related activities. We are happy to connect with other parties involved for our clients (parents of children, doctors, insurers, etc.), and this time will be billed at our standard hourly rate, in 15-minute increments.

Cancellation Policy: Your appointment time is reserved just for you. A late cancellation or missed visit leaves a hole in the professional’s day that could have been filled by another client. As such, we require notice of 2 business days for any cancellations or changes to your appointment. Clients who provide less than 2 full business days’ notice, or miss their appointment, will be charged the full fee for their session. This ensures fairness to our professionals, as well as to our clients who are wanting to come in for appointments.

Extended Health Benefits Coverage: We endeavor to support those we serve in accessing Extended Health Insurance coverage for our services. As there are many insurance companies, each with their own specific policies, procedures, and coverage, we ask our clients to pay for our services at the time of provision and we will provide an invoice that can be submitted for reimbursement. Please note that we cannot confirm whether you are covered for services, only your insurance carrier can do this. We recommend that you contact your insurance provider prior to accessing our services to confirm coverage if your participation in our clinic depends on it.
